How to Release Final Grades to the Students

Overview: By default, students will be able to see individual grade items when they go to the Grades area but not the Final Grade column. It is up to the instructor to "release" the Final Grade (typically the Final Calculated Grade) column. This can be done for the whole class (release all) or for individual students.

Also, instructors will do well to learn how to Preview Student Grades to verify that students are seeing what instructors intend the students to see regarding grades.

Verify settings - Final Grade type and more

Instructors should verify settings to know which of the Final Grade types (Calculated or Adjusted) have been selected to be released to the students. The easiest way to do this is to look at the current course grades setup via the Grades Setup Wizard area.

Access the Grades area from the Grades link on the course navigation bar (OR access the Grades area by selecting "Grades" from the "Course Resources" drop menu).

Select the "Setup Wizard" tab to bring it into view - it lists the current "Final Grade to Release" that has been selected for the course. In the example depicted below the "Calculated Final Grade" is listed as being the final grade that will be released in the course.

Instructors can also use this opportunity to check "Grade Calculations" to make sure that current selections are appropriate. For instance, enabling "Automatically keep final grade updated" in conjunction with the "Drop ungraded items" assures that out-of-date information is not used to construct student's current scores.

Using the "Setup Wizard" tab gives an overview of how the course grade area is set up. It is not necessary to run the setup wizard ("Start" button - located below on the "Setup Wizard" tab) unless an instructor wishes to change grade area parameters.

If an instructor wishes to make changes to the grades area he or she can elect to run the wizard and make the changes via the steps in the wizard - OR - follow the directions below - whatever works best for the individual.

Change final grade release type settings:

To change the settings regarding the final grade release type that will be used in the course instructors need to access the Grades area.

When in the Grades area, select the grades area "Settings" link in the upper right.

In the Grades Settings area, select the "Calculation Options" tab to make it active.

On the "Calculation Options" page, instructors should choose the final grade release type that will be used in the course and select "Save" when done.

Note that instructors may also elect to change parameters associated with "Grade Calculations" in this same area (as outlined in the image below).

Always select the "Save" button to make the changes stick.

Release the grades:

To release the "Final Calculated Grade" go into the Grades area.

Access the Grades area from the Grades link on the course navigation bar (OR access the Grades area by selecting "Grades" from the "Course Resources" drop menu).

When entering the Grades area, the default Grades area display is the "Manage Grades" tab. (Instructors who've changed the default may have to select the "Manage Grades" tab to make it active.)

Select the "Action" arrow (action item; action carrot) next to the "Final Calculated Grade" item to access an action drop menu.

Select "Enter Grades" from the actions menu.

When in the Final Grades area, if final grades are ready for release, instructors can use the "Final Grades" action drop menu to select "Release All" which will release the Final Calculated Grade to all students in one shot.

Where instructors wish to be more selective in releasing grades, the "Select all rows" function can be used to select all students* in the course at once...

...and then certain rows can be de-selected to allow final grades to be released to some of the students while other final grades are left unreleased. Or just select checkboxes associated with students to whom the instructor wishes to release the final grade.

When utilizing this method, to release the grades, select the "Release/Unrelease" button. Note that "Unrelease" does just what it says.

After selecting to release the grades a check appears in the "Release Final Calculated Grade" column checkbox. Select "Save" for changes to take effect. Dependent upon class size the update to the grades area will take some time.

*IMPORTANT NOTE: When releasing or unreleasing grades via the "Select all rows" method instructors should be aware that any changes made will only apply to the users DISPLAYED ON THE PAGE. Instructors running courses with large numbers of students may wish to change the number of students viewed on the page via the "Results Per Page" drop menu located to the right above the table display of the final grade.

After releasing the final grades, when in the "Enter Grades" area, an "open eye" icon indicates that a final grade has been released.

Students may now access their final grade via the course Grades link.

Using the Final Adjusted Grade

Using the "Final Adjusted Grade" item gives instructors added flexibility concerning the grade that is released as the final to the students.

If this option has not already been previously selected, instructors must choose to release the Final Adjusted Grade by accessing the "Settings" area in grades...

...and then select to release "Adjusted Final Grade" by selecting the corresponding radio button and then clicking "Save" at the bottom of the "Calculation Options" page.

To release the Final Adjusted Grade instructors transfer the Final Calculated Grade results to the Final Adjusted Grade column.

To do this, enter the "Adjusted Final Grade" area by selecting "Enter Grades" from the actions drop menu.

"Final Calculated Grade" entries are typically in place. Transfer the "Final Calculated Grade" values to the "Adjusted Final Grade" column by selecting "Transfer All" from the "Final Grades" action drop menu.

A confirmation message will show. Select "Yes" for the transfer to occur.

After updating takes place the final calculations are transferred to the "Final Adjusted Grade" column.

After that time, if all is in order, instructors select "Release All" from the Final Grades action drop menu - this action is what makes it so that students can see their final grade.

Note: Before releasing the Final Adjusted Grade, instructors can adjust grades via the text boxes located in the "Final Adjusted Grade" column.

After a successful release of the "Final Adjusted Grade", when in the "Enter Grades" area, the "open eye" icon indicates that the "Final Adjusted Grade" is the column that has been released to the students.
